Because every minute matters when you're a busy mom juggling a family and/or business!
Being a busy mom and an entrepreneur is no small feat. Between client meetings, school drop-offs, meal prep, and everything in between, it can feel like there’s never enough time in the day. But don’t worry—I’ve got your back! Here are 15 practical and actionable time-saving tips to help you stay organized, productive, and sane.
1. Morning Routine Optimization
Start your day on the right foot by organizing your family’s weekly planner. Assign each family member their own color (pens, markers, or highlighters work great). Add their names and color swatches at the top of the planner. For an extra boost of positivity, include a motivational quote at the bottom of the page—it’s a small touch that makes a big difference!
Pro Tip: Not a fan of doing this yourself? I offer a service where I manage your family and work calendars, syncing everything into one easy-to-use platform. Your weekly planner, delivered every Sunday! Contact me to learn more.
2. Embrace Batch Tasking
Batch similar tasks together to save time and mental energy.
For example: I dedicate Mondays to marketing, Tuesdays to menu planning and blog writing, Wednesdays to administrative tasks, and so on. This approach keeps you focused and prevents task-switching fatigue.
3. Sync Your Calendars
Keeping track of everyone’s schedules can be overwhelming. Sync all your calendars—family, work, and team scheduling apps—into one “home” platform. This way, you’ll never miss a meeting or soccer practice again.
4. Delegate Like a Pro
You don’t have to do it all yourself!
Delegate time-consuming tasks like meal planning, grocery ordering, social media management, and email/calendar management to someone else. Hiring a virtual assistant (like me!) can free up hours in your week. Feel like you're drowning as a busy mom? Let me handle some personal tasks or creating a menu and grocery list! Work piling up because of life? I can complete administrative tasks and get your social media rolling!
5. Meal Prep Simplified
Spend a few hours on Sunday prepping meals for the week. Chop veggies, marinate proteins, and portion out snacks.
Bonus: Create a menu and grocery list in advance to save even more time.
If meal planning and grocery ordering is something that brings you stress or anxiety, let me take care of it for you! You'll approve the menu and grocery list I create, marking off groceries you don't need, and I'll place the grocery pick up order for when and where you'd prefer!
6. Set Clear Boundaries
Establish work hours and communicate them to your clients and family. This helps you stay focused during work time and fully present during family time.
Trust me: I know this isn't always easy. I'll be the first to admit, I'm TERRIBLE at this. Check out this article that really helped me with this topic.
7. Automate Repetitive Tasks
Use tools like HoneyBook to automate invoicing, email responses, and other repetitive tasks. Automation not only saves time but also ensures nothing falls through the cracks. Absolute GAME CHANGER and totally worth the investment!
8. Learn to Say “No”
Not every opportunity is worth your time. Politely decline tasks or clients that don’t align with your goals or values. Same goes for invitations to events in your personal life. If you're feeling overwhelmed or just need a day at home, reschedule or simply say you're not able to. Protecting your time, peace, and mental health is essential for both your business and family.
9. Time Block Your Day
Assign specific time slots to tasks like emails, meetings, and family activities. Time blocking keeps you organized and ensures you’re dedicating time to what matters most.
10. Prep the Night Before
Before heading to bed, take a few minutes to prepare for the next day. Lay out clothes, pack lunches, and review your schedule. A little prep goes a long way in reducing morning stress.
11. Prioritize Self-Care
You can’t pour from an empty cup. Schedule time for self-care, whether it’s a workout, journaling, or simply enjoying a cup of coffee in peace. A happier you means a more productive you.

14. Batch Social Media Content
Instead of creating posts daily, set aside time to batch-create and schedule content for the entire month. Tools like Canva and Flodesk make this process a breeze.
15. Celebrate Small Wins
Don’t forget to celebrate your successes—big or small. Whether it’s landing a new client, remembering everyone's events for the day, or simply having a productive day, take a moment to acknowledge your achievements.
